What to offer sponsors:

Team Budget & Planning Resources

Use these tools to organize season expenses, fundraising goals, travel costs, and major deadlines before the season gets away from you.

Season Budget Worksheet

Run through this at the start of the season. Knowing your total cost before the first practice gives your fundraising a real target.

Expenses to account for:

  • Registration / league fees
  • Uniforms and practice gear (initial + replacements)
  • Equipment (shared and individual)
  • Tournament and competition entry fees
  • Travel and lodging (away games, tournaments)
  • Team meals and nutrition (road trips, game days)
  • Facility rental or field fees
  • Officials and scorekeepers
  • Medical / training supplies (tape, ice, first aid)
  • Team communications and technology
  • End-of-season event or banquet

Once you have your total:

  • Subtract expected family contributions and registration income
  • The gap is your fundraising target — build your campaign around that number
  • Start a campaign once you have a clear goal in mind
Fundraising Planning Checklist

Use this before launching any fundraising program to set your team up for a strong run.

  • Choose your fundraising program (Donation Campaign, Ripped Jerky, or Gold Card)
  • Set a total team goal and communicate it to athletes and families
  • Set individual goals per athlete (total goal ÷ roster size)
  • Schedule the campaign window (2–3 weeks is the sweet spot)
  • Hold a brief team meeting to explain how to share and ask
  • Send families the campaign link or product kit with instructions
  • Post a mid-campaign update (progress toward goal drives momentum)
  • Follow up with athletes who haven’t started sharing yet
  • Post a final push 48 hours before campaign closes
  • Thank everyone publicly — donors, athletes, and families
  • Review results vs. goal and document for next season
Tournament Travel Checklist

Cover logistics before tournament week so your focus stays on the game.

  • Confirm tournament location, dates, schedule, and entry requirements
  • Book hotel block early (Engine handles group lodging)
  • Communicate hotel and departure details to families at least 2 weeks out
  • Confirm room assignments and any athlete-only hotel policies
  • Arrange team transportation to venue (bus, carpool, rideshare)
  • Plan team meals — on the road and at the tournament site
  • Pack team medical kit, ice bags, and trainer supplies
  • Confirm athlete eligibility paperwork is complete and on file
  • Download bracket or schedule to all coaching staff devices
  • Brief athletes on tournament rules and behavior expectations
  • Designate a parent point of contact for each travel day
Team Store Setup Guide

Launching a team store through James Lee Dean takes minimal setup and costs the program nothing upfront.

  • Contact ABF or JLD to initiate your store setup (start here)
  • Provide team name, colors, logo (or have them create one)
  • Select product types: jerseys, hoodies, hats, bags, fan gear, etc.
  • Review mockups before the store goes live
  • Set the store launch date and a window (2–3 weeks typical)
  • Share the store link via team text/email and social media
  • Post reminders at the halfway point and 48 hours before close
  • Orders ship directly to each buyer — no distribution required
  • Team earns per item sold — confirm payout terms with JLD
  • Re-run the store each season or for special events
